Privacy Policy

Private enough for an executive's call. Careful enough for a family member. Trusted enough for your own vehicle. Privacy is part of the service, and this explains how we protect it.

Privacy Is Part of the Service

Our clients trust us with more than transportation. They trust us with their vehicle, their home address, their family members and guests, their schedules, their private events, their medical appointments, their business calls, and their personal service preferences. We treat that trust with the same care we bring to the drive itself.

This Privacy Policy explains how Your Car Our Driver collects, uses, protects, and shares personal information when you visit our website, contact us, request a quote, make a reservation, communicate with our team, apply to work with us, or use our private driver service. Because the service is personal by nature, we handle information differently from a generic transportation website. A single request may include a home address, a private schedule, a school pickup, a medical appointment, a gated-community access note, an executive meeting, or a confidential destination, and each deserves the same care as the service itself.

Our Privacy Standard

We collect only the information reasonably needed to schedule, confirm, provide, protect, bill for, document, and improve our service. We do not sell client trip details, pickup locations, destinations, schedules, or private service notes, and we do not use children's, senior-care, medical-appointment, or executive travel details for advertising.

Access to client information is limited to the employees, drivers, and service providers who need it to perform or support the service. Our drivers are W-2 employees, not casual marketplace drivers. They are background-checked, bound by company policy, and required to sign a confidentiality and non-disclosure agreement before serving clients. No one drives for us without one. Drivers may not disclose, discuss, record, photograph, post, share, or use client information for any purpose other than performing the assigned service. Discretion is not an add-on. It is part of how we operate.

Care for Children, Seniors, and Medical Appointments

Some clients rely on us in especially personal circumstances, including transportation for children, older adults, medical patients, individuals attending appointments, and families managing care. We understand that service details can reveal sensitive information, such as home addresses, school locations, treatment centers, family schedules, caregiver instructions, mobility needs, and gated-community access. We treat all of it as private service information.

For these trips, we collect only what is reasonably needed to provide safe, reliable, properly coordinated service, which may include:

  • Client or passenger name
  • Parent, guardian, caregiver, assistant, or authorized-contact information
  • Pickup and drop-off instructions, and authorized persons for release or handoff
  • Emergency contact information
  • Mobility, access, assistance, or timing notes
  • Vehicle, gate, valet, parking, or building-access instructions
  • Appointment timing, destination, or waiting instructions when needed to coordinate the service

We use this information only to schedule, confirm, provide, protect, bill for, document, and support the requested service. We do not use it for advertising, we do not sell it, and we do not share it with drivers, staff, or service providers unless they need it to carry out or support the trip. When a parent, guardian, caregiver, school, medical office, residential community, or other authorized party is involved, we communicate with that person only as reasonably necessary to coordinate the service and support safety.

Executive Confidentiality and In-Vehicle Privacy

Many clients use our service during business days, private events, legal and financial meetings, medical appointments, and executive travel, and may need to take calls, review sensitive information, or speak with family while in the vehicle. Our drivers are W-2 employees who are screened, background-checked, and bound by signed nondisclosure agreements before they ever serve a client.

Drivers are required to treat client information as confidential. This includes client and passenger names, home addresses, pickup locations, destinations and schedules, business, legal, medical, financial, or family matters heard during service, documents or devices observed during service, the identities of guests and other passengers, and private service notes such as gate codes and access instructions. Drivers may not disclose, discuss, record, photograph, post, share, or use any of it for any purpose other than performing the assigned service.

Conversations inside the vehicle are treated as private. Drivers are required to maintain professional discretion, to avoid unnecessary participation in private conversations, and to respect your need for quiet, confidential space. For executives, public figures, families, medical patients, seniors, and children alike, discretion is part of the service standard.

Scope of This Policy

This Policy applies to personal information we collect online and offline, including through our website, phone calls, emails, text messages, quote and reservation forms, payment processes, client service records, driver and applicant processes, and service coordination. It does not apply to third-party websites or services we do not control, even if our website links to them. Those third parties are responsible for their own privacy practices.

Information We Collect

The information we collect depends on how you interact with us and the service you request. It may include the following categories.

Contact and identity information

Name, email address, phone number, billing address, company name, title, preferred method of communication, emergency or authorized-contact information, and information provided by assistants, caregivers, family members, or representatives.

Booking and service information

Pickup location, destination, requested date and time, expected duration, stops, route notes, special instructions, vehicle make, model, color, and license plate, passenger names, authorized guests, driver preferences, service history, event or appointment details, and gate, parking, valet, building, or access instructions.

Vehicle condition documentation

We may collect photographs of your vehicle, taken by your driver prior to taking custody of the vehicle, documenting its condition for insurance purposes.

Location and trip-related information

Pickup addresses, destinations, route details, trip timing, driver arrival status, service notes, waiting instructions, and trip changes. We use this to coordinate, complete, support, document, and improve service. We do not use client trip locations for advertising.

Child, senior, caregiver, and medical-related coordination information

Passenger details, parent, guardian, or caregiver instructions, authorized release or handoff details, mobility or assistance notes, emergency contacts, and appointment timing or destination information provided to safely coordinate the trip.

Payment and billing information

Payment method information, billing contacts, invoices, receipts, transaction history, refunds, and payment status. Where a third-party processor handles card transactions, we generally receive limited information such as card type, the last four digits, a transaction ID, and payment status.

Communications

Emails, text messages, form submissions, phone-call notes, service instructions, feedback, complaints, and incident reports. Drivers are not authorized to record client conversations during service.

Website, device, and analytics information

IP address, browser and device type, operating system, pages visited, date and time of visit, referring website, approximate location derived from IP address, cookie identifiers, and analytics or performance data.

Safety, incident, insurance, and compliance information

Accident, incident, complaint, safety, insurance, legal, or compliance information when needed to protect clients, passengers, drivers, vehicles, the public, or the company.

Driver, applicant, and employee information

For drivers, applicants, employees, and contractors, contact and application details, employment history, driver's license and motor vehicle record information, background-check and screening results, and payroll records, availability, performance, and safety records needed for hiring, employment, compliance, insurance, and operations.

Sensitive Information and Sensitive Service Context

Our service may involve information that is sensitive because of the context in which it is provided. A destination alone may reveal a medical appointment, a legal meeting, a treatment center, a school, a home address, or a private event. We may also collect information that privacy laws classify as sensitive, such as precise location, certain access instructions, and driver-screening information for employees or applicants.

We use sensitive information only as reasonably necessary to provide, protect, support, document, bill for, or improve the requested service, to comply with law, to protect safety, or to conduct hiring and employment processes. We do not use sensitive service details to infer characteristics about clients for advertising. Please do not send medical records, financial account numbers, passwords, or social security numbers unless we specifically request them and they are necessary for the service or an employment process.

How We Use Personal Information

We use personal information to:

  • Respond to inquiries and provide quotes
  • Schedule, confirm, modify, and complete reservations
  • Assign and support private drivers
  • Communicate before, during, and after service
  • Coordinate with authorized family members, assistants, schools, venues, medical offices, residential communities, or security gates
  • Process payments and manage billing
  • Maintain client history and preferences, and improve quality and operations
  • Protect clients, passengers, drivers, and the public, and prevent fraud and unauthorized access
  • Respond to complaints, incidents, insurance matters, or legal requests
  • Maintain website security and performance
  • Send service-related and, where permitted, relationship communications
  • Evaluate driver and applicant eligibility, performance, and safety
  • Comply with legal, tax, insurance, employment, and contractual obligations

How We Share Personal Information

We share personal information only when reasonably necessary for service, safety, business, legal, insurance, employment, or operational purposes.

With our drivers and team

Assigned drivers, dispatchers, managers, and office staff receive only the information reasonably needed to perform or support the service, such as client name, contact details, pickup location, timing, vehicle information, destination, and relevant notes.

With service providers

Trusted providers who help us operate, such as payment processors, scheduling and dispatch platforms, website hosting, communication providers, analytics providers, accounting providers, background-check providers, and insurance and legal advisors. They may use personal information only as needed to provide services to us or as permitted by law.

With authorized parties you involve

When you ask us to coordinate with another person or organization, we may share relevant service details with assistants, family members, caregivers, schools, medical offices, hotels, event venues, residential communities, security gates, or valets.

For safety, legal, insurance, or compliance reasons

When reasonably necessary to protect clients, passengers, drivers, or the public, investigate an incident, respond to lawful requests, comply with legal obligations, support insurance claims, enforce agreements, or respond to emergencies.

Business transfers

If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, personal information may be disclosed as part of that transaction, subject to appropriate confidentiality and legal protections.

With your direction or consent

When you direct or authorize us to share information, or otherwise consent to the sharing.

What We Do Not Do

Some commitments are easier to understand stated plainly:

  • We do not sell client trip details, pickup addresses, destinations, route notes, schedules, or private service notes.
  • We do not give advertisers your trip history, medical-appointment destinations, child-transportation details, senior-care details, or executive service details.
  • We do not allow drivers to use client information for personal reasons.
  • We do not allow drivers to record, photograph, post, or share private client information.
  • We do not publicly disclose client names, addresses, destinations, passengers, schedules, or service details without permission, unless legally required or reasonably necessary for safety, insurance, or compliance.

We do not sell personal information for money. Some website analytics or advertising technologies may be considered a sale or sharing under certain privacy laws when used for cross-context behavioral advertising. If we use tools that require an opt-out right, we will provide the required opt-out mechanism, and we will not use client trip details for such advertising.

Text Messages, Calls, and Emails

When you provide your phone number or email address, we may use it to communicate with you about inquiries, reservations, arrival updates, schedule changes, receipts, billing, support, and safety matters. We may also send occasional relationship or marketing communications where permitted by law. You can opt out of marketing email using the unsubscribe link or by contacting us, and you can opt out of marketing texts by replying STOP where applicable. Even after opting out, we may still send service-related messages needed for an active reservation, a billing matter, a safety issue, or a legal obligation.

Cookies, Analytics, and Website Technologies

Our website may use cookies, pixels, analytics tools, log files, and similar technologies to help the site function, remember preferences, measure traffic, improve performance, prevent fraud, and understand how visitors use the site. You can usually control cookies through your browser settings, though some features may not work properly if cookies are disabled. If we use advertising or analytics technologies that are considered selling or sharing under applicable law, we will provide any required opt-out option, such as a Do Not Sell or Share My Personal Information link or a recognized opt-out preference signal mechanism.

Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, disclosure, misuse, loss, or alteration. These may include limited access to client information, password protection, secure systems, vendor controls, driver confidentiality obligations, and internal review of privacy-sensitive service details. No website, system, email, or storage method is completely secure, and we cannot guarantee absolute security, but we take privacy, discretion, and client trust seriously.

Data Retention

We keep personal information only as long as reasonably necessary for the purposes described in this Policy, including service delivery, client support, billing, accounting, tax, insurance, safety, fraud prevention, legal compliance, employment, dispute resolution, and business records. The length of time we keep information depends on the type of information, why we collected it, and whether a longer period is required or permitted by law. When information is no longer needed, we take reasonable steps to delete, de-identify, or securely retain it as required or permitted by law.

Privacy Choices and Requests

You may contact us to request that we confirm whether we hold certain information about you, provide access to it, update or correct your contact or service information, delete certain information where legally required and practical, stop sending marketing communications, or answer questions about how we handle your information. We may need to verify your identity before completing certain requests, and some information may need to be retained for legal, billing, tax, insurance, safety, employment, or fraud-prevention reasons.

California Privacy Notice and Notice at Collection

This section applies to California residents to the extent required by the California Consumer Privacy Act, as amended, and related California privacy laws. It describes our online and offline information practices, the categories of personal information we may collect, the purposes for collection and use, the categories of sources and recipients, and the rights California residents may have.

Sale or sharing of personal information

We do not sell client trip details, pickup locations, destinations, private service notes, child-transportation details, senior-care details, medical-related details, or executive service details. We do not knowingly sell or share the personal information of consumers under 16 years of age. If our use of website analytics or advertising tools is considered selling or sharing under California law, we will provide any required opt-out mechanism, and we will not use private client trip details for cross-context behavioral advertising.

Sensitive personal information

We use sensitive personal information only as reasonably necessary to provide, protect, support, document, bill for, or improve the requested service, to ensure safety, to perform employment or screening processes, to prevent fraud, or to comply with law. We do not use it to infer characteristics about clients for advertising.

Subject to applicable law, California residents may have the right to:

  • Know what personal information we collect, use, disclose, sell, or share
  • Access certain personal information
  • Request deletion of certain personal information
  • Request correction of inaccurate personal information
  • Opt out of the sale or sharing of personal information
  • Limit the use or disclosure of sensitive personal information, where applicable
  • Use an authorized agent to submit a request, subject to verification
  • Not be discriminated against for exercising privacy rights

We may verify your identity before processing a request, and if you use an authorized agent we may require proof of authorization. We do not offer financial incentives in exchange for personal information, and we do not share personal information with third parties for their own direct marketing purposes without permission.

Children's Privacy

Our website and services are not directed to children under 13, and we do not knowingly collect personal information online directly from children under 13 without appropriate consent. For child transportation, information about the child or trip should be provided by a parent, guardian, caregiver, school, or other authorized adult, and we use that information only to coordinate, provide, protect, document, and support the requested service. If you believe a child has provided us personal information without proper authorization, please contact us so we can review and take appropriate action.

Medical Appointments

Your Car Our Driver is a private driver service, not a medical provider. We do not provide medical care, medical advice, ambulance service, or emergency medical transportation. A client may ask us to provide transportation to or from a medical appointment, treatment center, surgery center, hospital, senior community, or rehabilitation facility, and we treat those destinations, appointment timing, caregiver instructions, and related details as private service information. We do not ask for medical records, and you should not send them unless specifically requested and necessary for the service. For medical emergencies, please call 911 or the appropriate emergency service. Our service is not a substitute for emergency medical transportation.

Driver, Applicant, and Employee Privacy

For drivers, applicants, employees, and contractors, we may collect personal information for hiring, screening, background checks, motor vehicle record review, employment, scheduling, payroll, tax reporting, insurance, safety, and compliance. Background checks and motor vehicle record reviews are conducted in accordance with applicable law. Drivers are required to follow company policy, maintain confidentiality, and protect client information. Driver and employment information may be shared with background-check providers, payroll providers, insurers, legal and compliance advisors, and government agencies as required or permitted by law.

Third-Party Websites

Our website may link to third-party websites or services, including payment processors, maps, social media platforms, review sites, or analytics providers. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies before providing information to them.
